Retired personnel to benefit most as Nagpur Division’s Personnel Branch taking steps for paperless office
 
 
Personnel Branch of Central Railway’s Nagpur Division, has come up with yet another welfare measure, wherein serving and retired employees can apply on-line for the Pass/PTO. The application system initiative is a boon for employees as it reduces hassles and brings in transparency. Using digitisation to fullest, the new system rules out any mischief and cut downs on usage of paper that entails savings and protecting environment. The privilege pass/privilege ticket order is a facility provided to Railway employees wherein they can avail travel ticket at 1/3rd the price.
 

 
 
 
For retirees, this facility is called post retirement complimentary pass. Right now the facility is started on RailNet and soon after approval from Headquarters, division officials aims to get it on-line that would further simplify the registration for Pass/PTO from. Means anyone having basic internet facility would be able to place his request and need not have to physically go to personnel branch for registration. Personnel Branch got into action based on directives of Divisional Railway Manager (DRM) Somesh Kumar who is always keen on providing full benefits meant for employees and goes out of way to ensure carrying out welfare activities.
 
Taking a cue Sr. Divisional Personnel Officer (Sr. DPO) Dr G V Jagtap initiated the new measure as he observed that retired personnel faced difficulty in getting complimentary passes. He also wanted the system to work fast and cut down on simple processes so that a new work culture is developed in Personnel Branch, which is heart of railway operations. Especially, Office Superintendent Ajay Yadav took initiative in designing the facility and bringing it to its present place, at reception area of DRM office complex, in a well ventilated area to ensure that retired personnel are at ease. One specialty of the entire project is its software that was designed by Pradeep Pohane, the in-house software specialist of Central Railway, that has enabled Personnel Branch to have all the data on their finger tips.
 
Explaining the concept, Yadav said that due to on-line facility we now know how much passes were issued to every individual employee. The division has nearly 16,000 employee and now their data is available at simple click of button. Even those working at remote places can send their Pass/PTO request and need not have to physically go to office. This is more of a boon for retired personnel who otherwise had to tread to DRM office and submit written form. No formal arrangement was made for them and they used to stand in queue in back side of DRM office building, waiting for completion of formalities. The key points of the new system is that Personnel Branch is moving slowly in making it a paperless office. Right now for Pass/PTO physical form is filled and concerned clerks too issues physical passes which is now switched over to printer making it quite accurate leaving little room for error.
 
Yadav further said, with individual ID secured with password the employees, including retired personnel, need only to send in their application. We have developed a SMS based alert system wherein the application received will be acknowledged. And once the Pass/PTO is ready the employee will get SMS and he can come and collect the same without having to wait in queue. A data of nearly 16,000 employees whose passes are issued from DRM office is available right now and that of 1,000 serving personnel. On the very first day, the on-line system resulted in registration of 31 applications of retired personnel. The difficulties faced by retired employees moved Personnel Branch officers and Sr DPO quickly backed the concept to form a special cell for dealing with Pass/PTO, said Yadav. The employees can also fill in details of family personnel using the on-line format that makes calculations easier. And biggest asset of the system is accountability due to digitisation.
