Emphasising the critical role of documentation in business operations, Advocate Geeta Bhojwani said that irrespective of the nature, size, or structure of an organisation, maintaining essential documents related to identity, authorisation, registration, and compliance is crucial as they form the foundation of an entity’s legal identity and regulatory standing.
She was addressing a session titled “Likhoge Nahi Toh Behek Jaoge” organised by the Vidarbha Management Association (VMA) at Chitnavis Centre, Civil Lines, on Sunday. The session focused on the importance of document maintenance, retention, and statutory compliance.
Bhojwani, Director of Pinnacle Business Amicus Curiae Pvt. Ltd., elaborated on the various documents that businesses are required to maintain under different laws and regulations. The session was moderated by Asha Rai Badana.
Bhojwani explained that identity and authorisation documents include PAN and Aadhaar cards of individuals, directors, and partners, as well as Digital Signature Certificates (DSCs). Address and registration-related documents include registered office proof, electricity bills, No Objection Certificates (NOCs) from property owners, bank account details, business registration certificates, etc.
She further stated that organisations are legally required to maintain business, taxation, and employment-related records as part of compliance and risk management. Proper documentation not only preserves institutional knowledge but also enhances operational efficiency, productivity, data security, and confidentiality. Well-maintained records support strategic decision-making, transparency, accountability, dispute resolution, and business continuity.
Highlighting sector-specific requirements, Bhojwani noted that regulated professions such as legal, medical, engineering, architecture, accountancy, company secretarial practice, technical consultancy, and film-related businesses are mandated to maintain books of accounts and statutory records.
