NMC’s ‘e-Prashasan’ leap: Decades of academic archives to go digital

Around 1.5 lakh documents from 496 schools have been scanned in a month  
 
Nagpur Municipal Corporation (NMC) has embarked on a massive administrative overhaul to modernise its Education Department’s archives through a comprehensive digitisation drive. This ‘e-Prashasan’ initiative focuses on converting fragile, hand-written school records, some dating as far back as the 1950s, into a secure, searchable online database. For decades, crucial documents such as admission-withdrawal registers, transfer certificates (TC), and bonafide records were stored in deteriorating physical files.
 
The challenge was compounded by the closure of numerous civic schools over the years; current institutions were often left managing the records of up to 40 defunct schools, leading to an administrative bottleneck. Civic body officials highlighted that this project will ensure these records are preserved against physical decay and made accessible to the public with a single click. The primary beneficiaries of this digital shift are former students who frequently require authentic documents for caste validity verification, Government schemes, and employment. This initiative will speed up processes at the district scrutiny office.
 
While ensuring timely access to welfare benefits and providing verifiable proof of education for job applications. Coordinated by IT Officer Swapnil Lokhande and executed by Techsync Innovations Pvt Ltd, the project’s pace has been remarkable. In just one month, a specialised team utilised 15 scanning devices to process records from 496 schools. This effort resulted in over 1.48 lakh scanned images from 1,829 registers. Currently, a workforce of 180 data entry operators is indexing the details of 13.69 lakh students. This system links digital entries directly to the original scanned images to maintain strict authenticity. Beyond record retrieval, the new system will integrate attendance tracking and digital result sheets. This move by Municipal Commissioner Dr Abhijeet Chaudhari and the education department effectively ends the era of manual record-hunting, allowing alumni to request vital documents from anywhere in the world while ensuring the integrity of Nagpur’s educational history.
