Process to digitise

Four-decade-old revenue documents are being given new lease of life by the Land Record Department. More than 11 lakh documents from the year 1985 to 2004 of total ten development blocks in the district are being scanned. Once digitisation is complete, any old Khasra and mutation registers in the district will be available on a single click. The process of digitising over four decades old revenue records preserved in record rooms of urban and rural tehsils of Jabalpur district has been accelerated. With the objective of providing easy access to khasra, mutation registers and other essential revenue documents, large-scale scanning is underway to make these records available online. Out of the total target of 11 lakh pages, nearly 7.55 lakh pages have already been scanned. The digitisation work is being carried out under the Web GIS wing of the Land Records Office. Since many of the documents are decades old and in a deteriorated condition, they are first being repaired to make them suitable for scanning. Torn pages are being affixed to supporting sheets and secured with tape wherever required.

The entire process is being executed through an authorised vendor. To ensure quality and accuracy, five percent of the scanned documents are being randomly verified by patwaris. This step is aimed at eliminating errors and maintaining authenticity. Besides this, each document is being assigned a unique QR code, enabling quick identification and easy retrieval of the corresponding record. To provide citizens with one-click access to revenue records, documents from the period between 1985 and 2004 are being digitised. These records are being brought from three urban and seven rural tehsils to the Ayush Bhawan located at the Collector’s Office, where the scanning work is in progress. Earlier, these documents were stored in tehsil record rooms, where they faced the risk of damage or deterioration over time.

Each digitised document will carry a QR code containing complete related information, making future identification and verification simple and reliable. Notably, the digitisation initiative had been started earlier as well, but remained incomplete after the vendor discontinued the work midway. The process has now been restarted, and along with tehsil records, revenue documents stored in the Collectorate’s record room are also being scanned and uploaded on the Web GIS website. Major documents which are being scanned includes Khasra / B-1, Mutation Registers, Records of Rights, Extension Registers and Re-numbering Lists.
